Taking Move-Out Requests From the Leasing Office Without Losing a Unit

The fastest way to lose an apartment complex is to forget a unit. The leasing manager texted you on a Friday, you were on a sofa job, the text scrolled away, and on Wednesday the new tenant walked in on dirty carpet. One forgotten unit can undo a year of good work.

Where Requests Get Lost

How move-out cleanings are priced, cleaned and billed is covered in Apartment Carpet Move-Out Cleaning: Turning Units for the Leasing Office. This guide is about the step before all of that: catching every request.

Leasing offices send requests however is easiest for them in the moment. A phone call between tours. A text with a unit number and nothing else. An email to an address you check once a week. A note handed to your tech while they are in another unit. Each of those is a request living in a different place, and none of them is on your schedule until somebody moves it there.

The fix is to have one place where every request ends up, no matter how it started.

The Waiting List Is the Inbox

In CarpetBossPro, new requests sit on the Waiting List alongside every recurring address that has come due. It is a live map and list, so a new move-out at Building C shows up as a pin on the complex, next to any other units there that are waiting. The office works from that list to fill each day.

The rule that keeps units from getting lost is simple: whoever receives a request puts it on the Waiting List right away, before doing anything else. Once it is there, it is visible to everyone in the office and it does not depend on anyone's memory or phone.

Requests From the Customer App

The easiest requests are the ones the leasing office enters themselves. The customer app lets clients request service, so a leasing manager can put in a request for a unit without calling. They can also see invoices, pay, see before-and-after photos from past jobs, and choose their alerts.

When you sign up a new complex, take a few minutes to show the leasing manager how to make a request in the customer app. Many will still call or text, and that is fine, but the ones who use the app save everyone a step.

Requests by Text

Plenty of leasing managers will always text. CarpetBossPro has two-way texting with customers from the office, so a text to your business number lands where the whole office can see it, not on one person's personal phone. Reply from the office, confirm the unit and the date, and put the request on the Waiting List.

A good confirming reply repeats the details back: “Got it — Building C Unit 12, move-out clean with pet odor treatment, scheduled Tuesday. Key from the leasing office?” That one text catches most mix-ups before they turn into a wasted trip.

Requests From the Website

New complexes and property managers often find you on your website. The website request form sends requests into Form Responses in CarpetBossPro, where the office can review them and turn them into clients and jobs. A leasing manager at a property you have never worked with can ask for a quote without picking up the phone.

Get the Right Details Every Time

A request is only useful if it has what the tech needs. For move-outs, train the office (and gently train the leasing staff) to capture:

If the unit is already an address under the complex, the job fills in from its last visit, so the office only adds what is new. Setting up those addresses cleanly is covered next.

Closing the Loop

The leasing office wants to know when the unit is done. When the tech taps Complete, the office sees the finished checklist and photos, and the leasing manager can see the before-and-after photos in the customer app. A quick text from the office — “Unit 12 is done, dry time explained to maintenance, one stain in the bedroom did not come out, photo attached to the job” — closes the loop. The visit goes on the monthly statement, labeled with the unit address. More on following up with managers by text is in Two-Way Texting With Property Managers and Leasing Offices.

One inbox, the right details and a quick confirmation are what keep every unit on the schedule. For the rest of the tools for apartments and property managers, visit the CarpetBossPro commercial carpet cleaning software page.
