Billing Move-Out Carpet Cleanings to the Landlord, Not the Tenant

Move-out cleanings come with a built-in billing trap. The tenant is the one moving out, the tenant may be the one who calls, and the tenant may even be standing in the unit. But in most cases, the landlord or property manager is the one paying. Bill the wrong person and you end up chasing someone who has already moved across the state.

Not Like Office Work

Monthly office maintenance is predictable, as covered in Billing Monthly Office Carpet Maintenance From an After-Hours Route. Move-outs are not. They come in whenever a lease ends, often on short notice, and the unit needs to be ready fast. The billing needs to be just as quick and just as clear.

Decide Who Pays Before You Clean

Before the job, confirm who is paying. There are three common setups:

Whoever pays is the client. Everything else follows from that.

Set the Landlord Up as the Client

In CarpetBossPro, one client can have many addresses. A landlord or property manager is the client, and each rental is an address under them. When a move-out comes in, the office schedules it at that address, and the job belongs to the landlord's account.

The tenant's name does not need to be on the bill at all. If the landlord wants it for their records, a note on the job can carry it.

Monthly Statements for Regular Landlords

A landlord or property manager who sends steady move-out work should be set to Monthly. They get one statement each month covering every address, with each line labeled with the address. Twelve move-outs in a month become one statement instead of twelve invoices, which is easier for them to pay and for you to track.

One-off landlords can be billed per job, with a card on file charged at completion or the invoice paid online in the customer app.

What Goes on a Move-Out Invoice

A move-out line should say what was done at that unit:

Pet odor treatment and spot removal are common on move-outs. When a tech finds something that was not expected, they let the office know and the office adds it to the job before completion. Because the landlord is the client, the office may want to check with them first if the add-on is large. That keeps the statement free of surprises.

Photos Are the Landlord's Eyes

Landlords rarely see the unit between tenants. Before/after photos taken on the tech app and saved on the job are their record of the unit's condition before and after the cleaning. The finished checklist also records stains that did not come out, the condition and a note.

For move-outs, those records matter. If the landlord asks why a spot is still there, the checklist shows it was recorded. If the tenant ever disputes anything with the landlord, the photos are there. More on that record in Backing Up a Carpet Cleaning Invoice With the Finished Checklist and Before/After Photos.

Fast Scheduling, Clean Access

Move-outs are often urgent. The Waiting List shows new requests on the map alongside homes that came due, so the office can fit a move-out into a nearby route. Access notes on each address, like a lockbox code or which door to use, mean the tech can get in without calling anyone. When a unit has been cleaned before, the new job fills in from the last one, so the second turnover is quicker to set up than the first.

When the tenant is the one paying, treat them like any residential customer: a card on file charged at completion, or the invoice paid in the customer app. Do not leave a tenant move-out on pay-later. Once they hand back the keys, they are hard to reach. Charging at completion is the safest choice for these jobs, and a clear invoice with the rooms listed gives the tenant something to show the landlord as proof the cleaning was done.
