Plan Sign-Ups With the Card Captured: Starting Carpet Cleaning Customers on the Right Billing Foot

The easiest customer to bill is one who gave you their card on the day they signed up. Everything after that is routine: they come due, they get cleaned, the card is charged. The hardest customer to bill is one who signed up over the phone, never gave a card, and now has an invoice they keep meaning to pay.

Plans Start Somewhere

How yearly and every-six-months plans come due and get billed is covered in Billing Yearly and Every-Six-Months Carpet Cleaning Plans. This article is about the very first step: getting a new customer signed up with billing already set.

The Website Sign-Up Form

CarpetBossPro gives you two forms for your website: a request form for people asking for a quote, and a sign-up form for people who are ready to book. The sign-up form captures the card. Both flow into Form Responses in the office.

When a sign-up comes in, one click converts it into a client. The customer's name, address, contact details and card are already there. Nobody types them in from an email, and nobody has to call the customer back to ask for a card.

Why Capture the Card at Sign-Up

Asking for the card at sign-up is natural. The customer is already deciding to buy. A few reasons it beats asking later:

Sign-Ups in the Customer App

Existing customers can also sign up for services and pricing in the customer app, such as a yearly cleaning plan. That is the natural path for a one-time customer who liked the work and wants to be put on a schedule. They see what the plan includes, sign up, and their card on file is already there. Customers can update their card in the app if they want to use a different one.

Make the Sign-Up Page Clear

Customers sign up more readily when they know what they are getting. A good sign-up page for a carpet cleaning plan says:

Be plain about when the card is charged. “Your card is charged when each cleaning is finished” is the kind of sentence that makes people comfortable entering their number.

From Form Response to First Job

Once the sign-up is converted to a client, the office sets up the address with the carpet job details and access notes, and sets the minimum days between visits for the plan. The first visit can be scheduled right away. After that, the home comes due on the Waiting List on its own.

If the customer needs an estimate first, for example to measure a large basement, the office can build one from the service list. The customer approves it online and it becomes the scheduled job, with the details carried over. More on that in From Approved Estimate to Invoice: Billing the Carpet Cleaning Price the Customer Agreed To.

Requests Without a Card

Not everyone is ready to sign up. Some people just want a price. The request form handles those, and they land in Form Responses too. The office follows up, builds an estimate, and when the customer approves, it becomes a job. A card can be added at booking, or the customer can pay online in the customer app after the job.

The goal is not to force every customer into the sign-up form. It is to make the sign-up form the easy path for people who already know they want you.

Put the Form Where Customers Look

A sign-up form only works if people find it. Link to it from your website's main page, your service pages and your booking reminder texts. Mention it on your estimates. A happy customer who wants to be on a plan should be one tap away from signing up. For the full picture of billing in CarpetBossPro, visit the carpet cleaning invoicing software page.
