The Holiday Rush: Booking and Running a Carpet Cleaning Business Before Thanksgiving and Christmas

Every year, in the weeks before Thanksgiving and Christmas, the phone starts ringing with the same request: “We have family coming. Can you get us in before the holiday?” For a carpet cleaning business, it can be the busiest stretch of the year. Handled well, it fills the calendar with good jobs. Handled badly, it means turning away loyal customers, double-booked days and techs running late on every stop.

Partners Get Busy Too

Home-service partners, covered in Partnering With Maid Services and Other Home-Service Companies to Grow a Carpet Cleaning Business, feel the same rush. Their customers want the whole house ready for guests at the same time yours do. Talk to them early about how you will handle shared jobs in those weeks.

The rush is predictable. It comes at the same time every year, which means you can plan for it instead of reacting to it.

Book Your Repeat Customers First

The customers who have been with you for years should not be the ones who miss out because a stranger called first. Start reaching out to your repeat customers well before the rush. Look at the Waiting List for homes that are due or coming due soon, and send a text: “The holidays fill up fast. Want to grab a spot before Thanksgiving?”

In CarpetBossPro, homes on a yearly or every-six-months cleaning show on the Waiting List when they come due, with pins colored not due yet, due now and overdue past a 7-day grace. Customers who are not quite due can be offered an early cleaning so they are fresh for the holidays. Two-way texting brings the replies to the office.

Some owners encourage customers to move their yearly cleaning to the fall for exactly this reason. Once a home is cleaned before the holidays, its next due date lands at the same time next year.

Fill Each Day by Area

When demand is high, drive time is the thing that hurts most. Every job across town is time you could have spent cleaning. Use the Waiting List map to see where your booked and requested jobs are, and fill each day in one area before moving to the next.

On the dispatch board, auto-route sorts each van's day Closest First or Furthest First from the shop, and you can set the route order by hand when a customer needs a specific time. With more than one van, filter by van and use saved views to check each one quickly. Print route sheets if a tech likes paper as a backup.

Be realistic about how much one van can do in a day. A rushed tech who skips the pre-vacuum or the grooming to make up time leaves a worse result and an unhappy customer at the busiest time of year.

Set Clear Cut-Offs

Decide ahead of time when you will stop booking for each holiday. Tell customers clearly: “Our last day before Thanksgiving is Tuesday, and we're nearly full.” A firm cut-off helps customers decide quickly and protects your crew from impossible days.

Think about dry time too. Customers want the carpet dry before guests arrive. The final walk-through on the carpet cleaning checklist is where the tech explains dry time, and the estimated dry time is recorded on the job. Avoid booking a whole-house cleaning the evening before a holiday dinner.

Raise the Ticket, Not the Stress

Holiday customers are often happy to add services: the sofa guests will sit on, the area rug in the dining room, stain protector on the hallway, or a deodorizer for the pet areas. Offer them honestly, as covered in Upselling Carpet Cleaning Add-Ons Without Being Pushy. Bigger tickets on fewer stops can be better than more stops on a packed day.

Build these into your estimates from your service list. When the customer approves online, the approved estimate becomes the scheduled job, and the add-ons show on the tech's checklist so nothing gets missed.

Keep Customers Informed

Busy days mean delays. A tech running behind is a small problem if the customer knows, and a big one if they do not. Automatic on-the-way and arrived texts go out as the tech works the route. In the customer app, customers can see their place on a live map and choose alerts for the night before, when they are next and when the tech arrives. That cuts down on calls to the office when the office is busiest.

When the rush is over, the calendar can go quiet quickly. Plan for that too, in Getting Through the Slow Season in a Carpet Cleaning Business. For every guide on running the business, go back to the carpet cleaning business software page.
