From Approved Estimate to Scheduled Job: How the Carpet Details Carry Over

In a paper-and-spreadsheet shop, an approved quote is the start of a lot of typing. The job goes on the calendar. The rooms go in a text to the tech. The gate code goes in a different text. The add-ons get written on the job sheet, or they don't. Every copy is a chance for something to fall off. When the estimate becomes the job, there is only one copy.

Approval Starts the Hand-Off

Customers approve CarpetBossPro estimates online, as covered in Online Approval for Carpet Cleaning Estimates: Letting Customers Say Yes Without a Phone Call. The moment they do, the approved estimate becomes the scheduled job. There is no separate step to create the job and no second form to fill in.

What Carries Over

Everything on the estimate that describes the work comes with it:

Nobody re-types the job. What the customer approved is what the tech sees.

Putting It on the Schedule

The office still decides when and who. On the Scheduled List and dispatch board, jobs show by day, and you can filter by van. Put the new job on a day when a van is already in that part of town, set the route order by hand or auto-route Closest First or Furthest First from the shop, and print route sheets if your crew likes paper backup.

A common setup is one van on residential jobs during the day and another on commercial work after hours. A newly approved office maintenance quote goes on the evening van, and a three-bedroom home goes on the day route.

What the Tech Sees

On the tech app, which runs in the browser on iPhone and Android, the tech logs in with the company login and a personal PIN and sees the day's jobs in route order. Each job card shows the address with navigation, the job details and the access notes, plus past notes from earlier visits.

The carpet cleaning checklist follows the job. It walks the tech through the walk-through with the customer, moving small furniture, pre-vacuuming, pre-treating traffic lanes, treating spots, cleaning and grooming the carpet, putting furniture back on blocks or tabs and the final walk-through with dry time explained. Steps for pet odor treatment, upholstery, area rugs, tile, stain protector and deodorizer only appear when they are on the job. So what the customer approved on the estimate is literally what the tech checks off.

From Job to Invoice

The tech records the rooms cleaned, the estimated dry time, any stains that did not come out, a condition (Good, Needs attention or Repair recommended) and a note for the customer. Before/after photos stay with the job. When the tech taps Complete, the invoice is created and a card on file can be charged. The office sees the finished checklist on the job.

Because the invoice comes from the job and the job came from the estimate, the line items match what the customer approved. If something was added on site, the office adds it to the job first so the invoice reflects what was agreed. That is covered in Line Items That Match: Keeping the Carpet Cleaning Quote and the Invoice in Agreement.

The Next Job Starts From This One

The chain does not end at the invoice. The next time that home books, the new job fills in from its last job, so the rooms, carpet type, method and access notes are already there. A customer on a yearly cleaning comes due on the Waiting List when the minimum days between visits have passed, and the job is ready to schedule without a new quote from scratch, unless you are changing the price.

Over a few seasons, the address builds up a reliable record: what is carpeted, how it was cleaned, what was sold and what the tech noted.

One Record From Quote to Paid

The approved estimate becoming the job is what ties quoting to everything else. It removes the re-typing, keeps the tech's checklist honest and makes the invoice match the quote. To see how this fits with pricing, approval and follow-up, visit the carpet cleaning estimate software page.
