From Website Request to Booked Job: Leads and Sign-Up Forms in Carpet Cleaning Software

Carpet cleaning leads arrive from everywhere: a phone call while you are on a job, a text from a neighbor of a customer, a message through your website at eleven at night. The leads that get answered first get booked. The ones that sit in an inbox or on a sticky note go to whoever answered faster.

Where Leads Fit

Pricing a lead is covered in Estimates in Carpet Cleaning Software: Per Room, Whole House and Everything Extra. This article is about what happens before the estimate: getting the lead into the system in the first place, without retyping it.

Two Forms for Your Website

CarpetBossPro gives you two forms you can put on your website:

Both forms send their entries to the same place: Form Responses, inside CarpetBossPro.

Form Responses: One Inbox for Web Leads

Form Responses is where web leads wait for the office. Each response shows what the visitor entered. Nothing is buried in an email folder or lost in a spam filter, and anybody in the office with access can see what came in overnight.

From a sign-up, one click converts the response into a client. The name, contact details, address and card are already there. Nobody types them again, and nobody has to call the customer back to read a card number over the phone.

New requests also show up on the Waiting List map alongside repeat customers who came due. That helps the office see where the new lead is and whether there are other jobs nearby.

Answer Fast

The best thing a carpet company can do with a lead is answer it quickly. With requests landing in Form Responses, the office can check them first thing in the morning and between calls. Two-way texting makes the first reply easy: “Thanks for reaching out! How many rooms are you thinking, and do you have any pets?” The customer answers by text, and the reply comes back to the office.

From there the office builds an estimate from the service list and sends it. The customer approves online, and the approved estimate becomes the scheduled job, with the carpet job details carried over.

Ask the Right Questions Up Front

Whether the lead comes by form, phone or text, the same few questions make the estimate accurate:

Each answer has a home in the carpet job details or the access notes, so asking them once fills in the estimate, the job and the tech's card.

Sign-Ups Become Repeat Customers

The sign-up form is especially useful for repeat work. If you offer a yearly cleaning plan, put the sign-up form on your website and link to it from your follow-up texts. A customer who signs up has said yes to coming back. Once they are a client, set their repeat cleaning by minimum days, as described in Yearly and Six-Month Cleanings: Setting Up Repeat Carpet Customers by Minimum Days, and they will come due on time.

Existing customers can sign up for plans in the customer app too, so the same offer works for new and old customers alike.

Where to Put the Forms

A form only works if people find it. Put the request form on your homepage and on every service page — carpet, upholstery, area rugs, tile & grout. Put the sign-up form wherever you talk about your yearly plan. Link to the request form from your social media profiles and from the signature of your office emails.

Keep the forms short. A visitor on a phone at night will fill in a name, a phone number, an address and a sentence about what they need. Ask for more and many of them close the page. The office can ask the follow-up questions by text the next morning.

Phone Leads Go in the Same Place

Not every lead comes from the website. Phone calls and walk-up referrals still happen, and they should go into the same system. Create the client while you are on the phone, add the address and carpet details, and build the estimate. Once every lead lives in one place, you can tell who has been quoted, who has approved, and who still needs a follow-up — and the estimate follow-up emails handle many of those reminders for you.
