The Carpet Cleaning Dispatch Board: Every Job by Day and by Van

Most small carpet cleaning companies have a dispatch board even if they would never call it that. It is a wall calendar, a whiteboard in the garage, a notebook on the truck seat, or the owner's memory. It works until a second van shows up, or someone else starts answering the phone.

A real dispatch board answers three questions at a glance: what is happening on each day, which van is doing it, and in what order.

Why the Board Matters More Than the Calendar

The last guide, How Long Does a Carpet Cleaning Job Take? Planning Job Length by Rooms and Square Feet, covered how to see the size of each job. The dispatch board is where those sized jobs get put together into a day.

A calendar shows appointments. A dispatch board shows work assigned to trucks. For a carpet cleaning company, that difference is the whole game. Your capacity is not hours in a day. It is the number of vans, the water and chemical each one carries, and how far apart the jobs are.

The Scheduled List by Day

In CarpetBossPro, the Scheduled List is the dispatch board. It shows jobs by day, so you can look at tomorrow, the rest of the week or any date ahead and see what is booked. Each job shows the customer, the address and the carpet job details: the rooms checked off, square feet, upholstery and add-ons like pet odor treatment or stain protector.

That detail is what makes the board useful. A day with four jobs might be light or might be packed, depending on whether those jobs are two-room refreshes or whole houses with stairs. With the rooms on each job, you can tell the difference without opening anything.

Filter by Van

Filtering the board by van shows one truck's day on its own. This is the view you use when a customer calls and asks for Thursday: filter to the van that works their side of town, see how much is already on it, and decide whether there is room.

It is also how you balance vans. If Van 1 has a whole-house job, a sectional and a move-out, and Van 2 has two small jobs, the board makes that plain, and you can move a job from one van to the other before anyone leaves the shop.

A common setup for a two-van company is one van on residential jobs during the day and one on commercial work after hours. The van filter keeps those two days separate, so the after-hours crew never sees a morning residential job on their list.

Setting the Order

Once a van's jobs are on the day, they need an order. CarpetBossPro gives you two ways to set it:

Most days you will use both. Auto-route gets you a sensible starting order in one click, and then you move one or two jobs for customers with a time constraint. Routing gets its own guide next.

The Same Order on the Tech's Phone

Whatever order you set on the board is the order the tech sees in the tech app. Techs log in with the company login and a personal PIN, and their jobs for the day appear in route order with navigation, the job details and the access notes on each card.

If the office moves a job during the day, the tech's list follows. Nobody has to call the van to say “swap your third and fourth stops.” As techs tap Start and Complete, the board shows what is underway and what is done, and Crew GPS shows where each van is on the office map.

Saved Views and Route Sheets

Most offices look at the same few boards every day: tomorrow for each van, the full week, and maybe the commercial van on its own. Saved views keep those one click away, so nobody rebuilds the same filter every morning.

For the tech who likes paper, or as a backup on the dashboard, you can print a route sheet of a van's day in order. Both are covered in their own guides later in this series.

One Board for Everyone

The biggest win from a real dispatch board is that everyone looks at the same one. The owner in the field, the person answering the phone and the techs in the vans all see the same jobs on the same days in the same order. When someone books a job, it is on the board for everyone immediately. Double-booking a van stops being a weekly event.
