What Counts as a Room? Writing a Room Policy Your Carpet Cleaning Quotes Can Stand On

“Three rooms” sounds like a clear job until the tech walks in and finds that the living room runs straight into the dining room, which opens onto a carpeted loft. Is that one room or three? If the quote does not say, the answer gets decided in the customer's living room, and nobody likes how that conversation goes.

Why Per-Room Pricing Needs a Policy

Per-room pricing has a lot going for it, as covered in Per Room or Per Square Foot: Choosing How to Price Carpet Cleaning. Its one weakness is that “room” means different things to different people. A homeowner counts walls. A carpet cleaner counts carpet.

A room policy is a short, written rule that settles the question before the quote is approved. It is your policy, not an industry standard, so it should fit the homes you clean and the way you price. The point is not to win arguments. It is to avoid having them.

Common Pieces of a Room Policy

Most room policies cover the same handful of questions. Decide your answer to each:

Keep It Short Enough to Read

A room policy that runs a full page will not get read by the customer or remembered by the office. Aim for three or four lines. For example: “A room is up to a set size. Larger rooms and open areas count as two. Standard closets included. Hallways, stairs and basements priced separately.”

That is enough for most callers. If someone has an unusual house, the person quoting can ask a follow-up question or offer a walk-through.

Put the Policy on the Estimate

A policy only helps if the customer sees it before approving. In CarpetBossPro, the simplest way is to put it in the description of your per-room service on the service list, so it shows up on every estimate that uses it. The customer reads it, approves the estimate online, and the rule is part of what they agreed to.

The carpet job details on the estimate help too. Checking which rooms are being cleaned, such as bedrooms, living room, family room, dining room, hallway, office and basement, and recording the number of rooms, means the quote says “these four rooms” instead of just “four rooms.” When the estimate is approved, those details carry onto the job, so the tech sees exactly which rooms were quoted.

Ask the Right Questions on the Phone

A room policy also shapes the phone call. Instead of “how many rooms,” ask “which rooms.” Then ask the questions the policy depends on:

Four questions take a minute and save a lot of surprise on the cleaning day. When the answers are fuzzy, offer to quote from photos the customer texts to your business number, or schedule a quick walk-through.

When the House Doesn't Match the Quote

It will happen. The customer forgot the basement, or the “bedroom” is really a bedroom plus a sitting area. With a written policy and a list of quoted rooms on the job, the tech can walk through with the customer, point to the rule and explain what the extra space costs before starting. The office updates the job so the invoice matches. That conversation is covered in When the Carpet Cleaning Price Changes on Site: Telling the Customer Before the Wand Comes Out.

Without a policy, the same moment turns into “well, we usually count that as two,” which sounds made up even when it is not.

Write It Once, Use It Everywhere

Your room policy should be the same on the phone, on the website, on the estimate and in the tech's mouth. Write it down, put it in the per-room service description, and train everyone who quotes to explain it the same way. The policy will not make every job easy, but it will make every disagreement short. To see how room pricing fits with the rest of quoting, visit the carpet cleaning estimate software page.
