One Monthly Statement by Address: Billing Property Managers for Carpet Cleaning
A property manager who gets twenty separate invoices in a month from their carpet cleaner has twenty things to approve, twenty things to file and twenty chances to lose one. A property manager who gets one statement, with every property listed on its own line, has one thing to approve. Guess which carpet cleaner they keep.
Why Managers Want One Bill
Getting a long list of properties into the system is covered in Importing a Property List by CSV for Commercial Carpet Accounts. Once those addresses are in and the work is flowing, billing is where the account either runs smoothly or turns into a monthly argument.
Property managers, apartment complexes and office building owners usually pay their vendors on a monthly cycle. Many need to pass each charge on to a specific owner or charge it to a specific property's budget. A pile of invoices with no clear address on each one makes that hard. One statement with clear address lines makes it easy.
How Monthly Account Billing Works
In CarpetBossPro, any client can be set to Monthly billing. Instead of an invoice after every job, the client gets one statement each month covering every address that was cleaned during that month. Each line on the statement is labeled with its address, so the manager sees exactly where every charge came from:
- “Building C, Unit 12 — Move-out clean, pet odor treatment”
- “Building A Hallways — Common area maintenance”
- “418 Oak St — 3 rooms, hallway, spot removal”
Line items come from your service list, and sales tax is applied as it would be on any invoice. The statement adds it all up into one total for the month.
Who Should Be on Monthly Billing
Monthly billing is for clients with more than one address or more than one visit a month. Typical candidates:
- Property managers with rentals spread across town.
- Apartment complexes turning several units a month.
- Office building owners with suites and common areas on monthly maintenance.
- Schools and churches with several buildings or areas.
- Realtors who send you a steady flow of pre-listing cleans.
A single office suite with a company card might be better on card on file, charged when the tech taps Complete. Choosing between the two is covered in the next guide.
The Work Behind Each Line
Every line on the statement ties back to a completed job at a specific address. That job carries the finished carpet cleaning checklist, the rooms cleaned, the estimated dry time, any stains that did not come out, the condition rating, the tech's note and the before-and-after photos.
So when a manager asks, “What was the charge for Unit 12?” you are not guessing. You open the job and show them. The client can also see before-and-after photos in the customer app, so many of those questions never get asked. Photos as proof are covered in Before-and-After Photos for the Property Manager: Proof From Every Commercial Carpet Job.
Paying the Statement
Clients can see their invoices in the customer app and pay online. If a client keeps a card on file, auto-charge on a schedule can take care of it. For managers who pay through their own accounts payable process, the statement is a clear document they can approve and pay on their terms.
When a statement sits unpaid, past-due follow-up sends reminders so the office is not chasing it by hand. A property manager who simply forgot is reminded; one who has questions usually replies, and two-way texting keeps that conversation in one place.
Getting Statements Right From the Start
A few habits keep monthly statements clean:
- Name addresses the way the manager does. If they say “C-12,” your address should say C-12.
- Put extras on their own line. Pet odor treatment, deodorizer or spot removal as separate line items, so the manager can see what drove a higher charge.
- Agree on what is pre-approved. Some managers want a price before any work over a certain amount. Write that in a custom field on the client.
- Close jobs promptly. A job the tech completed on the 31st but nobody closed out may slip onto next month.
Billing That Makes You Easy to Keep
Property managers have a lot of vendors. The ones they keep are the ones that make their month easier.
