Area Rug Only Jobs: Booking Rug Cleaning When There's No Wall-to-Wall Carpet
More and more homes have hardwood, laminate or tile throughout, with a few area rugs on top. Those homeowners still need a carpet cleaner, just not for carpet. If your software only thinks in rooms of wall-to-wall carpet, these jobs end up as awkward workarounds. They deserve their own setup.
Rugs as the Whole Job
Rugs on regular carpet jobs are covered in Area Rug Cleaning Software: Pricing, Noting and Scheduling Rugs on Carpet Jobs. This guide is about the other case: the rug is the reason for the visit and there is no carpet on the job at all.
CarpetBossPro's carpet type field includes “Area Rug Only” next to Plush / Cut Pile, Berber / Loop, Frieze, Wool and the rest. Pick it and anyone looking at the job knows immediately that there is no wall-to-wall carpet here. Check the Area Rug box, add your rug services from the service list, and you have a clean, honest job record.
Quoting an Area Rug Only Job
On the phone, find out:
- How many rugs and roughly what size each one is
- Which rooms they are in and what floor they sit on
- Whether any have fringe, pets or known spots
- Whether there is upholstery or tile the customer might want done too
Then build the estimate with one line per rug or a quantity per size tier. Rug-only homes are often good candidates for tile & grout and upholstery, since the floors are hard and the furniture still gets used. Offer them on the quote. The customer can approve the whole thing online, or approve the rugs and come back to the rest later.
Approved estimates become scheduled jobs with the details carried across, so the carpet type stays Area Rug Only and the notes stay attached.
Minimum Charges for Small Rug Jobs
A single small rug might not cover the cost of the drive, the setup and the time on site. Most companies set a minimum for rug-only visits, either as its own service or as a rule in their estimate templates. Spell it out on the quote so the customer understands why one small rug costs what it does.
A minimum also gives the customer a reason to add a second rug or the sofa, which is usually better for both of you than a tiny one-item job.
Notes That Protect the Floor and the Rug
Rug-only homes have one thing in common: the floor under the rug is not carpet. Access notes and job notes should cover what the tech needs to know:
- “Hardwood throughout. Use the side door for the hose.”
- “Dining rug under a heavy table, customer will have it moved.”
- “Two dogs, keep the back gate closed.”
- “Park the van on the street, the driveway is shared.”
CarpetBossPro keeps access notes for pets, gate codes, where to park the van and where to run the hose on the address, and shows them on the tech's job card. Leave decisions about how each rug should be handled to your trained techs.
Routing and Repeat Rug Customers
Rug-only jobs are often short, which makes them great fillers. On the dispatch board, drop a rug job onto the van that is already working that side of town. Auto-route Closest First or Furthest First from the shop, then adjust the order by hand if needed. The tech's phone shows the same order.
Rug customers who like the result often want it done again. Set up a repeat cleaning by minimum days between visits, such as yearly, and the home comes back onto the Waiting List when it's due. The Waiting List map shows not due yet, due now and overdue pins, so you can group rug jobs by area. More on bringing customers back is in Repeat Upholstery Customers: Bringing Sofas and Rugs Back on a Schedule With the Waiting List.
Finishing the Job and Getting Paid
On site, the tech works the carpet cleaning checklist. The area rug step appears because Area Rug is on the job, along with the walk-through, any spot treatment and the final walk-through with dry time explained. Before-and-after photos go with the job. If a spot didn't come out, the tech records it and leaves a note for the customer.
When the tech taps Complete, the invoice is created with each rug on its own line, and the card on file can be charged. The customer sees the invoice and photos in the customer app. For how rug-only jobs fit with upholstery, mattresses and tile, visit the CarpetBossPro upholstery cleaning software page.
