Pricing Upholstery Cleaning Per Piece So Every Tech and Office Person Quotes the Same Number

A customer calls on Monday and is told a sofa is $129. Her neighbor calls on Thursday, talks to someone else, and hears $150. They compare notes over the fence. Now you have two unhappy customers and a pricing problem that started with nobody writing the number down in one place. Per-piece pricing on a shared service list solves it.

Why Per Piece Works for Upholstery

Once the services exist, as covered in Setting Up Your Upholstery Cleaning Service List: Sofas, Loveseats, Chairs and Sectionals, the next question is how to price them.

Carpet is usually priced by the room or the square foot. Upholstery doesn't measure that way. A customer knows they have a sofa, a loveseat and two chairs. They don't know how many square feet of fabric that is, and they shouldn't have to. Per-piece pricing matches the way customers describe their furniture, which makes it easy to quote on the phone and easy to understand on the invoice.

It also makes training easier. A new office hire can quote a living room set on day one if the prices are already on the list.

Setting the Base Price for Each Piece

Your prices are your own, but the logic behind them is fairly common. Start with the time each piece takes your techs on an average job, add the setup time for bringing in the upholstery tools, and compare against what a room of carpet earns in the same time. A sofa that takes as long as a bedroom should not earn much less than a bedroom.

Example numbers a company might use:

Whatever you choose, put it on the service list so it's the only number anyone uses.

Handling Size and Condition Without Haggling

Not every sofa is the same sofa. Some are extra long, some have loose back cushions, some have years of pet use. You have two clean ways to handle this:

Add-ons are usually better. They keep the base price simple, and they show the customer exactly what the extra charge is for. A customer argues with a vague higher number. They rarely argue with “Spot removal, sofa” on its own line.

Combining Pieces With Carpet on One Quote

CarpetBossPro estimates are built from your service list, so one quote can hold rooms of carpet, a hallway and every piece of furniture. Each item is its own line. The customer sees the carpet total and the upholstery lines separately, which helps them decide. Sometimes they drop the chair and keep the sofa. Sometimes they see how reasonable the loveseat is and add it.

Customers approve the estimate online, and the approved estimate becomes the scheduled job. The pieces on the quote are the pieces on the job, with the Upholstery box checked so the tech knows to bring in the upholstery tools.

If you offer a bundle, such as a sofa and loveseat together, save it as an estimate template rather than inventing a discount each time. Templates are covered in Estimate Templates for Upholstery Packages: Living Room Bundles, Move-In Sets and Rug-and-Sofa Combos.

Keeping Techs on the Same Prices

The hardest pricing moments happen at the door. The customer points at a chair and asks how much. If the tech guesses, the guess becomes the price. A better habit is for the tech to quote from the service list, note the request on the job or text the office, and let the office add the line item. The customer hears the same number the office would have given, and the invoice matches.

When techs know the prices are set and visible, they stop discounting to be nice. That alone tends to fix a lot of quiet revenue leaks.

Reviewing Your Per-Piece Prices

Once a season, look at your upholstery jobs. Are sofas running long? Are sectionals underpriced compared to how much time they take? Is anybody still booking dining chairs at the old price? Change the number on the service list, and every new estimate uses it. Honor any quote you already sent at the old price; the customer should get what they were told.

Per-piece pricing is one part of running upholstery inside the same system as carpet. For the rest, including rugs, tile, add-ons and billing, see the CarpetBossPro upholstery cleaning software page.
