After-Hours Office Carpet on the Tech App: Running the Commercial Van at Night

Commercial carpet work keeps a carpet company busy when homes are not. Offices, medical suites, apartment common areas and small retail spaces usually want their carpet cleaned when nobody is there, which means evenings and weekends. A common setup is one van on residential jobs during the day and another on commercial work after hours. The tech app handles both, but the night route has its own needs.

A Second Kind of Route

The one-van owner is covered in The Owner-Operator's Carpet Cleaning App: Cleaning, Checklists and Getting Paid From One Phone. Adding a commercial van at night is one of the most common ways that owner grows.

On the dispatch board, the commercial van gets its own route, filtered by van, with its own route order. The tech on that van signs in with their PIN and sees only the commercial jobs. Saved views on the dispatch board make it quick for the office to flip between the day van and the night van.

Access Notes Matter Even More at Night

A residential customer opens the door. An office at 8pm is locked, dark and empty. Everything the tech needs to get in and set up has to be in the access notes:

Because these notes are shown only to techs signed in with their personal PIN, sensitive building codes are not sitting in a group text or on a printed sheet. See Access Notes for Carpet Techs: Pets, Gate Codes, Where to Park the Van and Where to Run the Hose.

The Commercial Job Card

The job card for commercial work uses the same carpet job details as a home, with different choices checked. Areas might be “Office” with square feet filled in instead of a room count. Carpet type is often Commercial Low-Pile. The method might be encapsulation or low-moisture for a quick turnaround before staff arrive in the morning, or hot water extraction for a deeper periodic cleaning.

The method on the card matters a lot here. A client who was sold monthly encapsulation expects the space ready in the morning. A tech who reads the card knows what was planned. The rest of the card, including tile & grout in a break room or upholstery in a waiting room, shows up just like it would on a residential job.

Monthly Maintenance as a Repeat Plan

Most commercial carpet work is recurring. An office on monthly carpet maintenance is set up as a repeat plan with a minimum number of days between visits. When the days have passed, it comes due on the Waiting List on its own. The office assigns it to the night van, and the new job fills in from the last one: the same areas, carpet type, method and access notes.

The checklist still applies. The walk-through might be with the office manager at a scheduled time, or a quick look on arrival if the space is empty. The final walk-through might be a note for the customer instead of a conversation: “Cleaned main office and hallway. Wet floor signs left by the front entrance. Spot by reception lightened, still visible.” Before-and-after photos are especially useful when the client was not there to see the work.

One Statement Each Month

Commercial clients and property managers rarely want a charge per visit. With monthly account billing, a client set to Monthly gets one statement each month covering every address, with each line labeled with the address. A property manager with several buildings, or an office park with several suites, gets one bill instead of a pile.

The tech still taps Complete at each job. Each completed job lands on the record with its checklist and photos, and the work rolls into the monthly statement. The tech does not need to think about billing at all on the night route.

Safety and Time on the Night Van

Night work has its own concerns. A few habits help:

Commercial work is a strong second line for a carpet company, and the tech app keeps it organized without a separate system.
