The Time Clock in the Carpet Cleaning Tech App
Payroll at a small carpet company often runs on memory. At the end of the week, techs write down their hours on a scrap of paper, or text the owner, or the owner guesses based on when the van left the shop. Nobody is trying to cheat, but nobody remembers exactly when they started on a Tuesday. A time clock on the same phone the tech already uses for jobs fixes that without adding another app.
One App for Jobs and Hours
Getting paid by customers is covered in Charging the Card on File When the Carpet Tech Taps Complete. This guide is about getting your techs paid accurately.
The CarpetBossPro tech app includes a time clock. Techs clock in at the start of their shift and clock out at the end, on the same phone and in the same app they use for the route, the job cards and the checklist. There is no separate time-tracking app to install, no punch card at the shop and no weekly hours text.
Personal PINs Keep Hours Honest
Because every tech signs in with their own personal PIN, every clock-in and clock-out belongs to the right person. That matters most on vans with more than one person. A lead tech and a helper on the same van each clock in as themselves, on their own phones or on a shared van phone with their own PIN.
This is one more reason not to share PINs. If one person clocks in the whole crew, the hours are only as good as that person's memory and honesty. With personal PINs, each person records their own time. See Logging In to the Carpet Cleaning App: Company Login Plus a Personal PIN.
When to Clock In and Out
Set a clear company rule and stick to it. Common choices for carpet companies:
- Clock in at the shop when the tech arrives to load and check the van. This counts prep time, which is real work on a truck-mount van.
- Clock in at the first job if techs take the van home and drive straight to the first stop. Make the rule clear for drive time.
- Clock out after unloading, including dumping waste water and restocking, if that is part of the job at your shop.
- Lunch breaks follow your own policy. If breaks are unpaid, have techs clock out and back in.
Whatever you choose, write it down and go over it at the first ride-along. Most hour disputes come from unclear rules, not from bad intentions. Your local wage and hour rules apply, so check what counts as work time where you operate.
What the Time Clock Tells the Owner
Accurate hours do more than make payroll easier. Put next to the jobs each tech completed, they tell the owner how the day really went:
- Long days with few jobs may point to too much drive time, which is a routing question for the dispatch board.
- Jobs that always run long may mean the estimate is too low for the work involved, such as stairs or heavy upholstery jobs.
- Consistent short days may mean there is room for another job on the route.
That is the kind of information that is impossible to see when hours live on a scrap of paper.
Clocking In and Crew GPS
The time clock and crew GPS work well together. The time clock records who is working, and the office map shows where the crew is. When a customer calls to add a job, the office knows who is working and which van is closest. Crew GPS is covered in the next guide, Crew GPS on the Office Map: Knowing Where Every Carpet Cleaning Van Is.
Getting Techs to Use It
Techs are usually happy to use a time clock that is fast and fair. A few tips:
- Make it part of the morning routine: sign in, clock in, look at the first job.
- Check hours weekly and fix missed punches right away, before anyone forgets.
- Pay from the clock. If you keep paying from texted hours, techs will keep texting hours.
- Be consistent. The same rule for the owner's favorite tech and the newest helper.
