Scheduling a One-Van Carpet Cleaning Business: The Owner-Operator Week

A one-van carpet cleaning business is the owner doing everything. Answering the phone between jobs, quoting on the way home, cleaning all day, and building tomorrow's schedule at the kitchen table after dinner. Scheduling software built for big offices can feel like overkill for one truck, but a one-van operator has the least time of anyone, which is exactly why the schedule should run with as little effort as possible.

The Same Tools, Smaller

The previous guide, When a Carpet Cleaning Job Gets Skipped: Getting It Back on the Schedule, covered the day a job falls through. For an owner-operator, a skipped job or a long drive hurts more, because there is no second van to pick up the slack.

Everything in this series works the same with one van. The dispatch board shows your jobs by day. The Waiting List map shows every home that has come due. Auto-routing orders your day from the shop. The difference is that you are the office and the tech at the same time.

Give Each Area a Day

With one van, drive time is your biggest enemy. Giving each part of your service area a regular day is the simplest way to cut it:

It does not have to be strict. A same-day emergency or a move-out deadline can override it. But having a default answer to “when can you come?” saves you a lot of thinking on the phone. Area scheduling was covered in Filling a Carpet Cleaning Day by Area Instead of Driving Across Town.

A Short Afternoon Routine

Instead of an evening at the kitchen table, aim for a few minutes at the end of each workday:

Night-before reminders go out on their own once tomorrow is set. You do not have to call anyone.

Let the Software Talk to Customers

When you are on a staircase with the wand in your hand, you cannot answer texts about when you will arrive. Let the automatic messages do it:

Replies come back through two-way texting, so you can answer between jobs instead of mid-job.

Estimates Between Jobs

Owner-operators often do estimates in the gaps. Build the estimate from your service list on the spot, send it, and let the customer approve it online. Estimate follow-up emails go out on their own. When the customer approves, the estimate becomes a scheduled job with the rooms and add-ons carried over, ready to put on their area's day.

Getting Paid Without the Paperwork

When you tap Complete in the tech app, the invoice is created and the card on file can be charged. No invoices to write up at night. Customers can also pay online in the customer app, and past-due follow-up handles the stragglers. For a one-van business, that means the end of the day is actually the end of the day.

The Start Plan Fits One Van

The Start plan is $59 a month, with scheduling, the tech app and the customer app included, and a monthly text allowance of 500 texts sent and received. As you grow to a second van, Pro at $89 and Crew at $199 add more room. Every plan starts with a 14-day free trial with no credit card.

Growing Into a Second Van

When the day you add a second van comes, the setup is already there. Add the van and a tech with a personal PIN, assign jobs on the board, and filter by van. Many owners split residential and after-hours commercial at that point, as covered in One Van on Homes, One on Offices After Hours: Splitting Residential and Commercial Carpet Routes.
