Invoices, Card on File and Auto-Charge: Billing in Carpet Cleaning Software
Carpet cleaning is hard work, and getting paid for it should not be. Yet plenty of carpet companies still finish a job, hand over a paper ticket, and wait for a check in the mail. Or they bill on Friday night from a stack of tickets on the passenger seat. Good billing in carpet cleaning software means the invoice is right, it goes out the moment the job is done, and most of the time it is paid before the van leaves the street.
Billing Starts With the Lead
Leads from forms, covered in From Website Request to Booked Job: Leads and Sign-Up Forms in Carpet Cleaning Software, are the first step toward an invoice. When a sign-up captures a card, that card is already on file when the job is complete. When an estimate is approved, its line items become the job, and the job becomes the invoice.
Invoices With Line Items and Sales Tax
Every invoice in CarpetBossPro is built from line items: the rooms, the stairs, the sofa, the area rug, the pet odor treatment, the stain protector. Each line comes from your service list at your price. Sales tax is applied according to how you set it up.
Line items matter for carpet cleaning because customers read them. “Carpet cleaning — $349” invites questions. “Living room, dining room, 3 bedrooms, hallway, stairs” plus “Pet odor treatment — back bedroom” answers them before they are asked. And because the job details carry from the estimate to the job, the invoice matches what the customer approved.
Card on File
A card on file is the single biggest change most carpet companies make to their billing. The card can come from the sign-up form, from the customer adding it in the customer app, or from the office. Customers can update their own card in the customer app when it expires or they want to use a different one.
With a card on file, nobody chases payment. The tech does not collect checks or carry a card reader. The office does not make collection calls for routine jobs.
Auto-Charge on Completion or on a Schedule
Auto-charge can run in two ways:
- On completion. When the tech taps Complete, the invoice is created and the card on file is charged. This is the natural fit for most residential carpet cleaning: one visit, one charge, done.
- On a schedule. Charges run on a set schedule rather than at each job. This suits customers on plans or accounts that are billed periodically.
Either way, the customer sees the invoice in the customer app, along with the before and after photos from the job.
Online Payment for Everyone Else
Some customers do not want a card on file, and some jobs are one-time. Those customers get the invoice and can pay online from the customer app. It is easier than writing a check, and it is faster for you.
Past-Due Follow-Up
Unpaid invoices get followed up. CarpetBossPro tracks what is past due and sends follow-ups, so the office does not have to keep a separate list of who owes what. When a customer finally pays online, the invoice is marked paid without anyone touching it.
Past-due follow-up is the part of billing owners most like to hand off. Nobody enjoys sending “just a reminder” messages, and they are easy to forget during a busy week.
Changes on Site
Carpet jobs change in the house. The customer adds a loveseat. A bedroom gets skipped because it is full of boxes. The tech records the rooms actually cleaned on the checklist and notes the change, and the office adjusts the line items so the invoice matches the work. Keeping the invoice honest is how you avoid the “I didn't ask for that” phone call.
Talk About Payment Before the Job
The smoothest billing happens when the customer knows how payment works before the van arrives. When the office books a job, mention it plainly: “We keep a card on file and charge it when the tech finishes. You'll get the invoice and the before-and-after photos in the app.” Most customers like knowing there will be no awkward moment at the door.
For customers who prefer to pay each invoice themselves, say that too, and let them know where the invoice will show up. Either way, nobody is surprised, and the tech can spend the final walk-through talking about dry time instead of money.
Commercial and Property Manager Billing
Commercial work bills differently. An office building, apartment complex or property manager set to Monthly gets one statement each month covering every address, with each line labeled with its address. That is covered in Monthly Accounts: One Statement for Every Address a Property Manager Owns.
CarpetBossPro works in the US, Canada, Australia, New Zealand and the UK, and bills customers in their own currency. To see how billing connects to estimates, the tech app and the customer app, return to the CarpetBossPro carpet cleaning software page.
