The First Week on New Carpet Cleaning Software: A Day-by-Day Plan
The first week on new software decides whether it sticks. If the week goes well, the old notebook goes in a drawer and stays there. If the week is a mess, the crew drifts back to texting addresses and writing tickets. A simple plan, one piece at a time, keeps it on track.
Before Monday
The setup steps in Setting Up Carpet Cleaning Software: Services, Prices, Vans and Techs should be done before the week starts: services and prices, vans and employees with PINs, customers imported, and next week's jobs on the dispatch board. Every tech should have the tech app installed on their phone and have logged in once.
Pick a week that is not your busiest. A normal week is better than the week before a holiday.
Monday: The First Route
Monday is about the tech app. In the morning, auto-route each van's day from the shop and check the order makes sense. Customers on Monday's schedule got their night-before reminders on Sunday.
Ride along for the first job or two if you can, or have the techs call you after the first house. Show them how to:
- Read the job card: rooms, carpet type, method, add-ons, access notes and past notes
- Tap navigation to get directions
- Tap Start, while the customer gets automatic on-the-way and arrived texts
- Work the carpet cleaning checklist
- Take before and after photos
- Tap Complete, which creates the invoice and can charge the card on file
If a tech wants a printed route sheet for the first day, print one. It is fine as a bridge.
Tuesday: The Office Side
With the techs comfortable, focus on the office. As jobs complete, look at each finished job: the checklist, the rooms cleaned, the dry time, the photos, the invoice. Check crew GPS on the office map. Answer customer texts through two-way texting instead of your personal phone.
When the phone rings with a new lead, build the estimate in the software from your service list and send it, even if it feels slower the first time. By Friday it will be faster than writing it out.
Wednesday: Payments
Midweek is a good time to look at billing. Check that invoices from Monday and Tuesday have the right line items and sales tax. Look at which customers have a card on file and which do not. When the office confirms upcoming jobs, ask customers without a card to add one in the customer app.
If an invoice is wrong because the job changed in the house, fix it now and talk to the tech about noting changes on the job. That habit is easier to build in week one than in month three. Billing is covered in Invoices, Card on File and Auto-Charge: Billing in Carpet Cleaning Software.
Thursday: The Waiting List
By Thursday, the daily routine works. Now look ahead. Open the Waiting List and see which repeat customers are due now or overdue, colored on the map. Pick an area for next week and text the customers who are due there. When they say yes, create their jobs; each fills in from the last job at the address.
This is the moment many owners realize what the software is really for. A notebook could never show you a map of every customer who is ready to book.
Friday: Review and Fix
On Friday, sit down for half an hour and review the week:
- Were any jobs missing details? Fix the service list or the job details habit.
- Were any access notes wrong? Update the addresses.
- Did any techs skip steps on the checklist? Talk about why.
- Were any invoices unpaid? Check that past-due follow-up is working.
- Did customers reply to reminders with questions? Use those to improve what the office says when booking.
Ask the techs what slowed them down. Their answers are usually small things, like a missing gate code or a job card that was not clear, and small things are easy to fix.
Tell Your Customers
Customers will notice the change before your techs finish their first route. They will get reminders that look different, on-the-way texts they never got before, and invoices in an app instead of on paper. A short heads-up helps. When the office confirms jobs that week, mention it: “We've moved to a new system, so you'll get a text when we're on the way and your invoice in our customer app.”
Most customers like it. The ones who ask questions are usually asking how to see their invoice or update their card, and both are in the customer app.
Week Two and Beyond
In week two, stop printing route sheets if you were. Put the old notebook in a drawer. Start adding tags to customers, set up saved views on the dispatch board, and look at your first reports. After a month, the software is simply how the company runs.
