Pricing Carpet Cleaning Off the Property's Measurements
A price per square foot is only as good as the square footage you multiply it by. If the number lives on a scrap of paper in the van, it gets lost. If it lives on the property, every quote for that address can use it, this year and next. That is the idea behind pricing off the property's measurements.
Measurements Make Square-Foot Pricing Practical
Tile & grout is the most common service carpet cleaners already price by the square foot, as covered in Quoting Tile and Grout Alongside the Carpet. The same approach works for carpet, basements, commercial spaces and rugs, once you have the measurements on file.
In CarpetBossPro, services can be priced off the property's measurements: square feet, linear feet or number of rooms. You set the price per unit on your service list, and when you add the service to an estimate, it uses the measurement to work out the line.
Which Measurement Fits Which Service
- Square feet for carpeted areas, basements, bonus rooms, commercial carpet, tile & grout, stain protector and large area rugs.
- Linear feet for things measured by length, such as long hallways, runners, or stair runs if that is how you price them.
- Number of rooms for per-room carpet pricing and per-room add-ons like pet odor treatment or deodorizer.
Pick the measurement that matches how the work grows. If doubling the size of a room doubles the work, square feet is the right base. If every bedroom takes about the same time, rooms are simpler.
Getting Accurate Measurements
The measurement has to be the carpet, not the house. A listing that says 2,400 square feet includes the kitchen, bathrooms, closets and hallways that may or may not be carpeted. Use one of these instead:
- Measure on a walk-through. The most accurate. A laser measure makes it quick.
- Ask the customer for room dimensions. Many homeowners have them from when the carpet was installed.
- Estimate from photos and a room count for a first quote, then confirm on site.
- Use last time's numbers. For repeat customers, the previous job already has them.
Whatever the source, note it on the estimate. “Square feet from customer's room sizes, confirm on arrival” tells the tech how much to trust the number.
Recording Measurements on the Job Details
CarpetBossPro's carpet job details include square feet and number of rooms, along with checkboxes for which rooms are being cleaned, the carpet type and the method. Fill these in on the estimate. They are what the price was based on.
When the customer approves the estimate online, the estimate becomes the scheduled job and these details carry onto it. And the next time that home books, the new job fills in from the last one. So once you have measured a house properly, you have it for every future quote. More on that in Re-Quoting Repeat Carpet Cleaning Customers Without Starting From a Blank Estimate.
Measurements for Commercial and Multi-Unit Work
Measurements matter most on commercial and multi-unit jobs. An office suite, a church fellowship hall or a set of apartment units each has a known carpeted area, and property managers often have the numbers already. Pricing by the square foot off those measurements gives every unit or suite a consistent price.
For a client with many addresses, such as a property manager, each address keeps its own measurements. A move-out quote for one unit uses that unit's numbers, not the building's. That makes landlord quotes fast once the first round of measuring is done.
Show the Math on the Estimate
A line that says “Stain protector, 640 sq ft” with a price is easy for the customer to understand. A single total with no basis invites the question “how did you get that?” When you price off measurements, the estimate shows the quantity and the line total, so the customer can see the price is not pulled out of the air.
If the tech finds the measurement was off, there is a clear number to correct. Explain it to the customer before starting, update the job, and the invoice matches what they agreed to.
Measure Once, Quote Many Times
Pricing off the property's measurements turns square-foot pricing from a guessing game into a repeatable process. Set your per-unit prices on the service list, capture real measurements on the estimate, and let every future quote at that address start from them.
